USF Health requires all new physician faculty members and other healthcare professionals (ARNP, PA, PT, SLP, etc.) to complete certain training modules prior to activation of their patient scheduling and billing. This quick guide will provide you with instructions for requesting a USF Health computer account, logging into Learn, enrolling in USF Health Training courses, and launching the training modules within the courses. It also provides instructions for registering for the face-to-face Billing Integrity Orientation and outlines the final steps required to activate your patient scheduling and billing.

The Learn training modules are REQUIRED and need to be completed 5 business days prior to your onboarding date.

If you are unable to complete the courses in that time frame, you will be asked to reschedule your onboarding date. Please know that your start date may also be impacted (Start Date being the first date you will provide patient care) and you will be required to obtain approval from your Dept. Chair and/or Division Director in advance. Patient care and billing privileges will not be granted until all onboarding requirements are complete.

Requesting a USF Health Computer Account

In order to complete the online education modules, you need a USF Health computer account and email address. Requesting your USF Health computer account and email address requires that you enter your GEMS ID number, which you should receive from Human Resources within a few days of submitting your signed Letter of Offer. Once you receive your GEMS ID number you may request a USF Health computer account online by following the instructions provided below.

The New Account request process is specific to a person's role. You will need the person's name, date of birth, and either Employee ID,GEMS ID, or U-Number. Questions will vary depending on the role you have selected and your responses to the questions.

  1. Open your web browser and go to: https://hsccf.hsc.usf.edu/healthAccount/accountRequest.cfc?method=view
    The New Account Request page should open. See figure 1.

  2. Select the Role for the new account holder.

  3. Enter the Date of Birth.
  4. Enter the Source System ID. See figure 2.

  5. Click Submit Query.

     
  6. The system will try to validate the Name, Date of Birth and Source System ID. 
    • If the system is unable to validate information, a message will display with instructions on how to proceed. See figure 3.

    • If information is validated, the Create Account page will open. See Figure 4.

  7. Complete the requested fields.

    Required fields are marked with a red asterisk ( * ).
    External email address, Elementary School and 4 digit PIN are unique identifiers that you pick that you can use to reset your password, if necessary.

    If you had a previous Health account that will be your only option as a Health Account user name. If you are a new Health user you will be given several options to choose from as your user id.

    Your hscnet ID is your USF Health Username. You will use this ID to access the USF Health network. The password you created will be your password for your Health account


  8.  Click Submit.
    The following message will display: The account has been created. If you have any questions regarding your account, please contact the USF HEALTH Information Systems Support desk at (813) 974-6288, Option 2.

In most cases, your USF Health computer account should be active immediately upon completion of the request process. If your position requires that you have a sponsored computer account, the account creation process may take up to 24 hours, as the account must be approved by an authorized signer.

Logging into the Learn system requires that your USF Health email address has been enabled. In most cases, your email account should be enabled within 20 minutes of when your USF Health computer account becomes active.

Logging Into Learn and Accessing the USF Health Training Course Category 

The following instructions describe how to log into USF Health Learn and access the USF Health Training course category.

  1. Click or go to the following link: https://learn.health.usf.edu
    The USF Health Learn website should open in a new browser tab or window.

  2. Log into the USF Health Learn website by entering your USF Health username and password. See figure 5 below.

    If you have successfully logged in, the Learn Home page should appear.

  3. Click on USF Health Training in the Course categories menu. See figure 6 below.

Required USF Health Training Courses

All new physician faculty and other healthcare professionals are required to complete the below listed online modules. You should plan on spending 6-8 hours to complete all online training. You can access the modules at any time via the Learn website (https://learn.health.usf.edu/login/index.php). The modules can be completed one at a time, and if you are unable to finish one after starting it, you can restart later where you left off. However, please note that if you are unable to finish a module and must return to it later, it is strongly recommended that you exit the module and log out of the Learn site in order to avoid technical issues due to inactivity.

In the USF Health Professional Integrity & Compliance course:

  1. Medicare Parts C and D General Compliance (20 min.)
  2. Combating Medicare Parts C and D Fraud, Waste, and Abuse (30 min.)
  3. Professional Integrity Program Handbook (15 min.)
  4. HIPAA Privacy at USF Health (20-45 min. - completion time varies depending on navigation through the course)
  5. Computer & Information Security (30 min.)

Effective January 13, 2017: The two below modules will be retired and replaced by the "Professional Integrity Program Handbook" and "Medicare Parts C and D" modules.

    • Professional Integrity at USF Health
    • False Claims Acts and USF Health Standards

In the USF Required Training course:

      6. Unlawful Harassment Prevention (45 min.)

In the Role-Based Training course:

      7. Safety: Back to Basics (60 min.)
          a. Applying Standard Precautions
          b. OSHA Fit Testing for Particulate Respirators
          c. OSHA Bloodborne Pathogen (BBP) Education

      8. USF Self-Insurance Program Fundamentals (60 min.)
      9. Billing Integrity - Teaching Physician Standards (if you are a Faculty Physician and will provide services involving Residents, Fellows and/or Medical Students) (time varies depending on specialty)
    10. Faculty Leave Benefits (if you have a faculty appointment) (30 min.)
    11. Privacy in Research (if you conduct human subject research) (30 min.)

Launching Modules in the USF Health Training Courses

The instructions below describe how to launch a training module within any of the USF Health Training courses.

  1. Click the title of a module to go to its Launch page. See figure 14 below.

  2. Click the Enter button on the module Launch page to launch the module. See figure 15 below.

It is highly recommended that you save and print a copy of any certificates you earn in the process of completing required training in the Learn system. In the event of a technical or reporting error, being able to provide a copy of your completion certificate(s) will prevent you from having to repeat the training modules.

Face-to-face Billing Integrity Orientation

In addition to the online training in Learn, physician faculty members and other healthcare professionals must attend a face-to-face Billing Integrity Orientation session.This session is scheduled on an ad hoc basis and is tailored to your specialty of practice. This is a one-on-one orientation with a Billing Integrity Consultant at the Professional Integrity Office (PIO) located in the University Professional Center building at 3500 E. Fletcher Ave., Suite 301. This training is scheduled for new faculty physicians as part of the on-boarding process. Other healthcare professionals should contact their Department representative for assistance with scheduling this meeting on their behalf.

Please note: you must be credentialed with the USFPG prior to scheduling/attending this orientation session.


Additional Information:

This training should be completed as close as possible to the start of clinical activities, but no greater than 30 days prior to that date.

Prior to attending the face-to-face Billing Integrity Orientation session, you should complete the online module "Teaching Physician Standards", if applicable. If you provide E&M services, including office visits, hospital visits and/or consultations, you are encouraged to also complete the online modules on E&M services prior to attending the face-to-face session.

Steps After Completing Training

Once you have completed all of the online courses in Learn, notify Melissa Mastorides and RCO Provider Enrollment via email. Please include both of the following email addresses in the "To" field of your email.

The Professional Integrity Office staff will notify all pertinent parties of the completion of Billing Integrity Orientation. Once all of these education modules have been completed, your patient scheduling and billing will be activated.
