Setup and Support

Have a presentation in a room but confused on how to use the equipment? Need help setting up a meeting that requires A/V integration? Is the equipment in your room malfunctioning? Simply fill out a service request. Please make sure to include the following information:

  • Name of the Meeting
  • Date, Time and Duration of the meeting

  • Location of the meeting (building and room number, address if offsite)

  • What equipment will be used (projector, microphone, computer...)

  • Do you need this meeting recorded?

    **AV event setups during normal business hours (Monday-Friday, 8-5) require at least one business day advance notice. A Monday event requires a ticket be submitted on the previous Friday.**

    **After Hour or Non-USF Health Sites VideoConference requests require 5 business days for testing and scheduling.* *

A/V Equipment

If you find that the desired room failed to accommodate you in it's resources let us help. Let our department supply you the equipment for rental that fits your needs. Simply fill out a service request. Please make sure to include the information above in addition to the following:

    • Equipment needed (additional microphones, LCD displays)

Video Conferencing

Video Conference services allow for IP video and audio connections. It is useful for attending meetings and lectures that you may not be able to attend in person. To schedule a video conference, please follow these simple instructions:

  2. Reserve the selected rooms through Outlook or the assigned Booking Contact on the VTC Direcory
  3. Submit a Service Request and include the following information:
    • Name, Date, Time and Duration of the meeting
    • What locations have you booked for this conference?
    • Is there a PowerPoint presentation for this meeting? If so, which location will be the presenting side?
    • When connecting to locations outside of the USF health network, please include a technical contact (phone or email) for that locations
 

Webinar

A webinar is an easy to use presentation service from the convenience of your own desktop. Your collegues will be able to view the same presentation simultaneously as the speaker navigates through the slides. All attendees will need both a computer with internet connectivity as well as a phone. Currently USF health IS uses webinar services provided by WebEx, which features include:

    • Talk and present with collegues outside of the USF Health Network (within US and Canada)
    • Supports up to 20 attendees
    • Allows desktop sharing
    • Includes an integrated chatroom for all participants

To schedule a webinar, submit a Service Request and include the following information:

  • Name, Date, and Time of the webinar
  • Email addresses for all attendees
  • Contact information for both the presenters and the host
    • Host: Organizer of the meeting
    • Presenter: Anyone presenting
**Once a meeting is scheduled, an automated email will be sent to all attendees disclosing meeting information and the toll free phone number.

Communications

Office Communicator- Lync

Office Communicator or Lync, is a real-time instant messenger service that links with your existing Outlook email. It includes desktop video conferencing and network wide live meetings from your PC. Other Lync features include:

  • Microsoft Outlook calendar and contact integration
  • Save contacts for instant messaging
  • Presence Icons show which contacts are available
  • Easily installed on any USF Health computer.

**Please note that Office Communicator is only available within the USF Health Network.

EVENTS

E.V.E.N.T.S. or Enhanced Visual Notification Transmission System is our powerful electronic bulletin and emergency notification network. It uses displays located throughout the USF Health campus to keep you informed using PowerPoint, movies, and tickers. Click here for additional E.V.E.N.T.S. procedures.

Joining

E.V.E.N.T.S. currently located at: College of Medicine, College of Nursing, College of Public Health, School of Physical Therapy, Children's Medical Services, Morsani, USF Health Faculty Office Building, and the South Tampa Center. For more information on how to join the E.V.E.N.T.S. network, simply submit a Service Request to speak with one of our DMAC representatives.

Contributing

E.V.E.N.T.S. has become the quickest way to distribute your content throughout USF Health. Our E.V.E.N.T.S. displays are viewed by faculty, staff, students, and patients.
To contribute your announcement to E.V.E.N.T.S., please include the following information in your Service Request:

  • Name of your College or Department
  • A digital copy of your announcement (PowerPoint, jpg, bmp)
Training

We offer training and assistance on how to effectively use E.V.E.N.T.S. Contact us to set up a training session.

Digital Media

Lecture Recording

DMAC uses a variety of technologies to record meetings and workshops for archive purposes. Recording your lecture is a great way to share your presentation with those who may have missed it. To have your lecture recorded, simply submit a Service Request with the following information:

 

  • Name, Date, Time, and Duration of the presentation
  • Location of the presentation (contact a DMAC representative for a list of rooms with lecure recording capabilities)
  • Does your presentation include audio or video? Will the presenter supply their own laptop?
**All recordings must be approved by the speaker prior to the recording.

 

Streaming/Podcasting

Already have your lecture recorded? We offer a variety of deployment services to get your content out to the masses. Digitized content can be made available through video streaming and podcasting which may be added to departmental websites or blackboard course pages. In order to have your content streamed, please provide the following:

  • Digital video file on CD, DVD, or USB memory stick
  • Whom is the intended audience? HSCnet users only?
  • Name of department or class that will be viewing the media
  • What is the file format necessary? Windows Media Video for PC users? Apple Quicktime for iTunes users?

Video Conversion

Our department has the ability to convert DVD, and other video or audio media. This provides a digital format capable of being used for PowerPoint, video streaming, archiving and podcasting.

Analog conversions such as VHS tapes are subject to a Premium Service Work Order
